We need a highly motivated Virtual Assistant for our Real Estate Account to support property valuers.

As an Admin Assistant (Real Estate), your duties and responsibilities include:

  • Produce final, client-ready property valuation reports in Microsoft Word, ensuring strict adherence to specifications and corporate formatting standards.
  • Transcribe diverse source materials (handwritten notes, drafts, and audio recordings) accurately into coherent, professional documentation.
  • Manage all visual assets by inserting, correctly labeling, and formatting photographs, maps, and other supporting images within reports.
  • Streamline workflow and coordinate report production, acting as the primary liaison between valuers, trainee staff, and Australian administrative teams to meet deadlines.
  • Draft and finalize professional business correspondence, including external letters, internal memos, and urgent communications.
  • Implement and maintain document control, ensuring meticulous version tracking and secure digital filing of all reports.
  • Provide comprehensive administrative support, encompassing data entry, accurate record-keeping, and communication coordination.
  • Uphold confidentiality and the highest standards of professionalism in the handling of all sensitive valuation and client information.

Qualifications:

  • Must have a bachelor’s degree in Communication, English, Business, Marketing, or related field.
  • Previous experience working with Australian clients or teams is an advantage.
  • Experience in a fast-paced administrative, documentation, or high-volume report production role.
  • Prior experience or familiarity with property, real estate, or valuation terminology and report structures will be a significant advantage.
  • Experience in professional transcription or high-speed audio-to-text typing is highly desirable.
  • Proficiency in Microsoft Word and Microsoft Outlook.
  • Exceptional command of both written and spoken English.
  • Ability to accurately read, interpret, and process diverse source material, including detailed handwritten notes and technical drafts.
  • Focus on accuracy and formatting consistency to ensure final documents are client-ready and error-free.
  • Proven ability to manage a demanding workflow, prioritize tasks effectively, and consistently meet strict deadlines for report submission.
  • Excellent communication and professional liaison skills necessary for coordinating with international teams, specifically clients and staff in Australia.
  • Exhibits high standards of professionalism, flexibility, and a proactive, team-oriented attitude.
  •  Willing to be assigned to SM Clark, Pampanga.
