We need an Associate Property Admin Assistant who is proficient in preparing documents efficiently and can handle a high volume of tasks with accuracy and attention to detail.

As an Associate Property Admin Assistant, your duties and responsibilities include:

  • Prepare new and renewal Tenancy Agreements.
  • Process and send vacating and break lease notices.
  • Create residential bond forms (rbo.fairtrading.nsw.gov.au).
  • Send Rent Increase Letter notices.
  • Provide Tenant Reference Checks.
  • Process Maintenance Requests.
  • Post and coordinate with tenants for various notices (e.g., meetings, property updates).
  • Prepare Annual General Meetings (AGMs) using different platforms.
  • Prepare Minutes of the Meetings.
  • Prepare Extraordinary General Meetings (EGMs) for minor and major renovations.
  • Create Zoom meeting schedules for AGM & EGM preparation.
  • Enter new/renewed insurance details into the CRM.
  • Manage Strata folders, saving all related documents for each property.
  • Perform close filing for terminated Strata Plans in the system.
  • Set up new building details into the CRM.
  • Create Management Agency Agreements.
  • Update contact information in the system as needed.

Qualifications:

  • Graduate of any Bachelor’s Degree.
  • 1-2 years of experience as an Admin Assistant or any equivalent is a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work with PDFs (Adobe Acrobat or similar software).
  • Eager to learn and adaptable to new tasks.
  • Strong financial and analytical skills with a keen eye for detail.
  • Excellent teamwork and communication skills with the ability to multi-task effectively.
  • Takes initiative and is results-oriented, resourceful, and accountable.
  • Fresh graduates and entry-level candidates are encouraged to apply.
  • Willing to relocate to Subic Bay Freeport Zone.
